Member-Required: Join our Board of Directors on April 28, choosing to attend either in-person or virtually! Together, we'll reminisce on our previous fiscal year, elect new board members (vote prior to), connect with neighbors' ideas, and launch another successful co-op year!

CTC's annual meeting will take place on Thursday, April 28, 2022, at 6:30 pm. At least one individual per membership household is required to attend, as we need members to vote on objectives crucial to the functioning of the co-op. New to this year, there will be a hybrid attendance option, where members can chose to attend either in-person or virtual.

Purpose of Our Annual Meeting
Recap on Fiscal Year 2020-2021
Our Annual Member Meeting is a special event that brings together our three intersection co-op cultures – board, management, and co-op members – to celebrate our past fiscal year, July 1, 2020 - June 30, 2021. The meeting will review a financial summary and the changes and accomplishments of the fiscal year.
Democratic Member Control
- Elect New Board Members: As members, you will elect our new Board of Directors to shape our collective future, as well as participate more actively in our co-op for an enhanced experience. Voting will take place prior to meeting, with the elected members announced during the meeting.
- Vote on Proposed Bylaw Changes: The membership and the board agree to abide by the guidelines of the bylaws for operating their business. Bylaws can be changed over time, but doing so requires a majority vote of the membership.
- Submit Community Voices: This event can be considered the primary opportunity for co-op members to connect with other members, hear directly from the Board and Management Team, and provide input on co-op issues.
Attendance Options
In-Person Audience:
Residents can chose to attend the meeting in-person, joining the CTC board and management in the theater of the UMN St. Paul Student Center. There is a limit of 300 in-person attendees, in which we are limiting one member per household can attend the in-person option and the use of an RSVP attendance confirmation prior to the meeting.
Required RSVP Confirmation:
- Limit one member per household, due to the theater's occupancy limit
- To attend in-person, fill out the RSVP form prior to the meeting
- Accepting only the first 300 attendee confirmations; the RSVP form will close automatically once the 300 occupancy limit is reached
- Arrive between 6:00-6:15 pm, allowing time before the meeting to check into the event

Live Stream Video Online:
The meeting will simultaneously be recorded and broadcast, allowing a virtual option for attendees to tune in from any location. There is no required RSVP nor household/occupancy limit like the in-person option; however, virtual attendees still must 'check-in' by entering enter their name and email upon entering the meeting via the provided Zoom link. Additionally, virtual attendees must submit all 'Community Voices' prior to the meeting due to the formatting of the Q&A discussion this year.

Election and Amendment Ballot
Ballot Emailed to Primary Residents
POLL CLOSES APRIL 28 @ 6:45 PM
The ballot will be emailed a week prior to the meeting. To ensure one vote per co-op membership household, the ballot will only be sent to the primary email address belonging to the household's primary resident. The primary resident should submit the ballot before the meeting, reflecting the consensus of all household members in their response. Which email will receive my household's ballot?
Early Voting Prizes
Be sure to vote to be entered in a drawing to win one of 10 prizes, including rent or laundry credit, or a Amazon gift card! Prize winners will be directly contacted after the meeting. See details in section above on how to vote.
Ballot Contents
1) Board of Directors Election:
Every spring at our Annual Members Meeting, co-op members elect new board members for two-year terms. Each membership household will place one vote to elect up to five candidates (or all five) who best reflect their values and visions for the co-op. See more information and candidates (available after April 4) below, in section "Board of Directors Election."
2) Proposed Bylaw Amendment:
The board of directors reviewed the current bylaws and worked to make improved changes. The official notice was emailed to all residents on March 28, 2022. Then, co-op members will vote on the ballot in favor or opposition of these changes. View overview and redline version of proposed bylaw changes.
3) Submit Community Voices
Submit questions, concerns, or compliments on the ballot for the Board of Directors to discuss during the meeting! Note: if attending the meeting virtually, you must submit questions and comments via the ballot ahead of time, as there will be no remote chat option during the meeting. More details in section below, "Community Voices."

Every spring at our Annual Members Meeting, co-op members elect new board members for two-year terms. Each membership household will place one vote to elect up to five candidates (or all five) who best reflect their values and visions for the co-op. The member-elected candidates will then join our standing board members to represent our community in overall governance.

Community Voices
Share Feedback for a Personal Response
Submit questions, concerns, or compliments for the Board of Directors to discuss during the meeting. Our board will answer questions and address topics live during the meeting's final agenda item: Community Voices! We will do our best to address as many topics possible; yet, we may need to consolidate themes and/or email direct responses depending on time, as well as if the subject is unrelated to the Annual Meeting.
- Virtual and In-Person Attendees: Prior to the meeting, submit voices via the emailed ballot (once received) or by emailing community@umnctc.org.
- In-Person Attendees: Live during the meeting, share your voice directly to the board during the Community Voices (Q&A) section with the theater's microphone.
